Full-Time BDC – Customer Experience Coordinator 

As part the Business Development Center and under the direction of the Sales Manager, the Customer Experience Coordinator plays a key role in generating customer experiences and carrying out Nott Autocorp’s Mission of providing the best car buying experience possible. Primary include handling inbound sales leads and booking appointments, maximizing opportunities to make sales, improving our online presence to increase inbound leads, and making outbound calls to generate more business.



  • Manage all incoming e-leads and sales calls.
  • Respond to leads promptly (5 mins or less) and according to Nott’s response protocol, answer basic customer questions and book appointments.
  • First priority is booking appointments for the sales team. Appointments will be distributed by the Sales Manager.
  • Ensure all customer info, correspondence and appointments are entered in AutoTracker and appointments are entered in the appropriate calendar.
  • Follow up on leads until an appointment is booked or it makes sense to pass it on to a salesperson.
  • Confirm all appointments the day before, or day of.
  • Track which appointments show and which don’t.
  • Verify that salespeople have updated customers following their appointments in AutoTracker.
  • Maximize the odds of salespeople closing each appointment.
  • Begin the customer interview process & fill out guest sheet over phone whenever possible.
  • Suggest alternate vehicles for salesperson to show.
  • Ensure Nott is optimally prepared for each appointment.
  • Follow-up on Nott Autocorp’s stale prospects.
  • Call any clients who have not been contacted in the last week and for whom there are no closure notes in AutoTracker (e.g. “customer bought elsewhere” or “on holidays until March”).
  • Follow-up with all previous day’s guests for a customer experience check-in.
  • Determine whether the guest had a great experience, identify opportunities to improve it, and confirm that they were treated in accordance with Nott’s principles and process.
  • Book next appointment if there is an opportunity.
  • Make outbound sales calls to orphan customers/prospects to generate appointments.
  • Improve online vehicle listings to generate more leads.
  • Learn each piece of inventory
  • Add value-building content to listings to differentiate our product from the competition.
  • Use spare time to improve existing listings and load new inventory online, sharing the responsibility with our Social Media & Web Marketing Coordinator.
  • Assist the Receptionist and Executive Assistant in greeting customers, answering phones, and ensuring that every guest has a great experience.
  • Smile and greet every guest
  • Coordinate lunch breaks so the front desk is never unattended
  • Promote Nott Autocorp’s other divisions (Autospa and Autocare) while communicating with customers.
  • Experience working with Vin Solutions is an asset

Part-Time Assistant Finance Manager

Reporting to the Sales Manager and the Finance Manager, the Finance Associate is a key member of both the sales team and Nott Autocorp’s Banking Center. The Finance Associate is responsible for:

  • Maintaining a high level of ethics during all interactions with customers, staff and suppliers.
  • Maintaining contact with clients throughout all transactions and consistently exceeding customer experience expectations.
  • Facilitating vehicle financing, offering insurance, and providing customers with a thorough explanation of aftermarket products and extended warranties.
  • Providing a complete explanation of dealership service procedures and policies.
  • Maintaining good working relationships with lenders and negotiating for quick and efficient approvals and competitive interest rates.
  • Processing financing and leasing deals accurately and securing approval from lenders.
  • Understanding and complying with all regulations that affect used vehicle sales and finance departments.
  • Performing at or above industry average on relevant performance metrics.
  • Training and providing the sales team with information on finance and lease programs and the benefits of the dealership’s financing and extended warranty programs.

As a small team, we regularly ask staff to perform duties outside of their normally defined areas of responsibility. We rely on each other to take initiative and do whatever is necessary to keep improving our business.


  • Strong business writing and verbal communication skills
  • Minimum 2 years sales and customer service experience
  • Competence in interpreting legal contracts
  • College degree or equivalent experience in finance or banking preferred
  • Experience as a dealer Finance Associate or Finance Manager preferred


Hours: 15-25 hours per week with opportunity for growth
